How long does it take to set up an AI voice agent?

Setting up an AI voice agent typically takes about a week from the first conversation to the first live call. Most of that time is spent building and testing the agent, not waiting on the business, whose own effort is around an hour.

The timing changes if the business uses unusual software that has to be connected. That is covered below, along with what happens on each day of the week and what the owner is asked to do.

What happens on the first day?

On the first day the business hands over what the agent needs to know. An AI voice agent can only answer what it has been told, so this step decides most of the quality of the result.

  • The questions callers ask most often, with the answers the business wants given.
  • The services on offer, described the way the business describes them.
  • The booking rules, such as opening hours, how long each service takes and how much notice is needed.

What happens between the first day and going live?

Between the first day and going live, the agent is built from the material the business supplied and then tested. Testing means placing calls to it, trying the ordinary questions and the awkward ones, and correcting anything it gets wrong.

This is the longest part of the week, and it needs very little from the business. The work is done on the builder's side until there is an agent worth calling.

What does the owner have to do?

The owner of the business has two jobs, and together they come to around an hour. The first is supplying the information on day one. The second is calling the agent and approving it.

Approval is a real step. The owner phones the agent as a customer would, checks that it says the right things, and asks for changes if it does not. Nothing goes live until the owner is happy with how it sounds and what it says.

How does the agent start taking real calls?

An AI voice agent starts taking real calls when call forwarding is switched on. The business keeps its existing number, and calls are passed to the agent. Forwarding can be turned off again at once, so going live is not a one-way step.

What can make setup take longer?

Setup takes longer when the agent has to connect to unusual software. Common calendars and booking systems are straightforward, but older or specialised systems may need a custom connection, and that adds time.

The best way to avoid a surprise is to name the software in use at the start, so the connection can be checked before any date is promised. A business with a simple setup and clear booking rules should expect the timeline above.
